Using Folders To Organize Your References

One way of arranging the data in your database is to organize it into folders. You can also have a single reference in multiple folders -- no need to duplicate the reference. There are a number of places where you can change the folder in which a reference is contained.  When you edit a reference in one folder those edits also appear when you view the reference in another folder (since you have only one copy of the reference itself!).

You can also have references that are not placed in any folder.

RefWorks comes with three folders set up, Last Imported, References Not In A Folder and Deleted References.

To manage your folders, click on the Folders menu and select Organize Folders. The Organize Folders window appears in the main view area. The Organize Folder window displays the number of references in each folder and the total number of references in the database. From here you can create a new folder. rename a folder, delete a folder, and clear the contents of a folder.

Although the folder is deleted the references contained in the folder remain in the database and still appear in any other folder in which they were placed.  If the references were not in a folder to begin with, they become unfiled and can be accessed from the Organize Folders page or by selecting References Not In A Folder from the Folders toolbar option.

Emptying a Folder

The folder is emptied, and the references remain in the database.

Viewing References Not in Any Folder

To view just the references that are not in any folder, from the Organize Folders page, lick the # references are not in the folder link to the right of the message, You have # references in your database. If you do not see this link, all of your references are in folders.

You can also click on the View menu and select Folder and References Not in a Folder.

Using the Last Imported Folder

Last Imported contains the references from your most recent import. These references are automatically replaced the next time you import new references.
